How to Use Your Microsoft Word Label Template
Ready to customize and print your Spartan Industrial labels? We'll show you how to download your Microsoft Word template and adjust the settings to ensure your labels print accurately. Whether you're creating circle, square, or rectangular labels, these step-by-step instructions will help you get quality results every time
How to Access Your Template
- Navigate to your label size by clicking Label Template in the navigation bar at the top of the page.
- Use the filters on the left to narrow your search by size, shape, or template code, then click the product tile that matches your labels.
- On the product page, click the Word DocX (.docx) icon. The template should automatically download to your computer.
- Open the document in Microsoft Word and make sure you're in Editing Mode (not Reviewing or Viewing Modes).

How to Edit Your Template
- Click inside each cell to begin typing or adding content.
- If you need to insert images, please see our How to Fill Your Template Sheet With Text and Images article for detailed instructions.
- Use Microsoft Word's formatting tools to customize fonts, colors, and layout while keeping your design within the template boundaries.
How to Print Your Labels
Follow these steps to print your labels accurately.
Step 1: Open the Print Menu
- In Microsoft Word, go to File > Print.
- Set your paper type to Heavyweight or Label Paper for best results.
- Set the Scale to 100% or Actual Size (do not select "Fit to page").
Step 2: Load Your Paper
- Place your label sheets into the printer tray with the printable side facing the correct direction. If you're unsure which side prints, note which way you loaded the sheet and test print one label to confirm which side it prints on.
- Make sure the sheets are loaded straight and not shifted, curled, or bent. How you load the paper can affect alignment.
Step 3: Review Margin Warnings
- If you receive a warning about small margins, select Agree or Print Anyway. Some margins may be close to the edge of the page.
- For PC users, installing or updating your printer driver can help improve alignment. Please see our How to Check and Update Your Print Driver article for detailed instructions.
Step 4: Print a Test Page
- Always print a single test page before printing your labels in bulk. This ensures your design and alignment are correct before using additional sheets. A test page allows you to make adjustments if needed and prevents too many wasted labels or misaligned prints.
- If the design is slightly off, make small margin adjustments in Word. For circle labels, extend your design slightly beyond the edge of each label to create a bleed. For square/rectangle labels, shift your design by tiny increments (0.1" or less) in the direction needed.
- Reprint a test page and check the alignment. Please note our templates include a 2mm margin allowance.
- Once the alignment looks correct, print the full quantity of label sheets needed.
