How to Set Up Mail Merge for Your Label Template in Microsoft Word
Using Mail Merge in Microsoft Word allows you to import data from an external source into a designed document to easily create a whole sheet of labels — a convenient solution for address labels, name badges, and product labeling.
To prepare your template from The Shipping Store, you’ll create a custom label size in Microsoft Word. Here are step-by-step instructions, as well as additional resources from Microsoft that deep-dive into the various data sources you can use and instructions for your operating system.
Materials and Information to Gather
- Microsoft Word template for your label size
- Custom label dimensions for mail merge

Step One: Navigate to Mail Merge Setup
- Open your template in Microsoft Word.
- Select Mailings > Start Mail Merge > Labels.

Step Two: Create New Label Size
- Confirm Printer Type: Laser and Ink Jet and Label Products: Other/Custom.
- Select New Label.

Step Three: Plug in Label Dimensions
- Create a label name. We use “Spartan Industrial - R001” as an example.
- Use the custom measurements provided for your size to fill in the remaining boxes for the label size, margins, pitching, and number of labels.

- Select OK to save your new custom label size and OK again to apply it to your template sheet.
- You’ll notice that this will clear the old borders and create new dashed lines to guide you, as well as a banner prompting you to choose a new or existing recipient list for your mail merge.

Step Four: Import Your Data
- Navigate to Mailings > Select Recipients > Use an Existing List.
- Select your data source file.
- If you don’t already have a list, navigate to Mailings > Select Recipients > New List.
